1. Why we collect your information and what we use it for

For clients, applicants and tenants, we use the information to carry out our obligations in relation to your requirements and/or contracts entered between you and us and to provide you with information, publication, surveys, benefits, assistance, and services that you may request from us; we will use it to provide you with information about services you may be interested in; to help you recall previous transactions and services we provided; to provide you with information about other services we offer that are similar to those that you have already purchased, contracted or enquired about; to notify you about the changes in our services; to provide our services for you and; to make suggestions and recommendations about our services that you may be interested in.

For strategic partners, contractors and suppliers we work with, we use the information to keep track of what you may or already have provided to us; to recall previous communications and transactions and to enquire what services you may or may not provide for us.

  • We may share your information with selected business parties including (but not limited to) Rent4Sure, Credit Reference Agencies, Vouch and other business partners, contractors and suppliers but only where you have given us your consent to do this
  • If you engage Gre Group to carry out our services for you in relation to sales, lettings and property management you automatically provide your consent to us to engage relevant third parties.
  • We may disclose your personal information to third parties: In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or asset. If Gre Group or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
  • If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our customer care policy and other agreements; or to protect the rights, property, or safety of Gre Group customers, or others (including exchanging information with other companies and organisations for the purpose of fraud protection and credit risk reduction).

 

1. Where we store your information

The data that we collect from you is stored in a cloud based Customer Relationship Management system and on our secure servers. Any payment services will be done through Worldpay or an equivalent provider. Where we have given you a password which enables you to access certain parts of our website, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received our information, we will use strict procedures and security features to try to prevent unauthorised access.

We have taken all reasonable steps to ensure that we and our Data Processors adapt Industry standard security protection systems to ensure the security of your data.

Where personal data is stored in locations other than the EEA, we have assured ourselves that the Data Processor is aware of their responsibilities for the privacy and security of your data under GDPR.
